FleetCollect Launches Automatic SMS Reminders to Keep Driver Qualification Files Audit-Ready

FleetCollect, an all-in-one compliance and fuel-tax platform for owner-operators and small-to-mid-size trucking fleets, has introduced automatic SMS reminders that notify drivers when their qualification documents are about to expire. The feature aims to solve a common problem: Driver Qualification Files (DQF) falling out of compliance due to forgotten renewals, which often leads to failed audits.

Under FMCSA regulation 49 CFR §391.51, motor carriers must maintain a DQF for every driver, containing 18 documents covering pre-employment records, annual reviews, and ongoing testing. DOT auditors frequently target these files first, and gaps—such as an expired medical card or a missing MVR review—often surface only during an audit. FleetCollect tracks all 18 items on a single dashboard, integrates with Checkr for background checks and drug tests, and uses OCR to read uploaded documents. The new SMS feature sends drivers reminders at 30, 14, 7, and 1 day before expiration, and again if the document lapses, with a secure link to upload a renewal from their phone.

“The medical card nobody remembered is the thing that fails your audit,” said Herman, Founder of FleetCollect, who held a CDL for over a decade and ran his own authority before building the platform. “The driver has the document and a phone. The software should just ask them for it at the right moment—and read the date so nobody has to. That shouldn't be a premium feature; it should just happen.”

The reminders are included in every plan at no extra cost, with driver consent managed through carrier-attested opt-in and an opt-out option via “Reply STOP.” FleetCollect is designed for carriers that enterprise platforms often overlook, from single-truck owner-operators to mid-size fleets, and works alongside existing ELD systems like Samsara and Motive. “We passed our FMCSA audit with zero deficiencies thanks to FleetCollect,” said Sarah Chen, Fleet Manager at Mountain Transport. “The auditor was impressed with how organized our DQFs were.”

The platform replaces manual processes such as file cabinets and spreadsheets, offering a 7-day free trial with automatic SMS reminders included. For more information, visit FleetCollect.net.
