Why Some Referral Businesses Outperform with the Same Data and Tech: The Missing Mindset

In the competitive world of real estate referrals, companies often invest in the same data and technology, yet some consistently outperform others. According to Mike Simon, CEO of AgentBrief, the difference lies not in the tools but in the mindset of the users. Simon argues that many businesses misuse data by looking backward at past transactions, missing the forward-looking opportunities that data can reveal.

“What most people do is they look at data as a history lesson,” Simon said. “I want to know everything that’s happened with this particular agent, who they did deals with, what I won, what I lost. It’s just vanity.” Instead, data should serve as a trigger for immediate action. The shift from treating data as a record to using it as a catalyst for action is what separates successful companies from those that see no change after adopting new tools.

Technology’s role is to deliver information quickly, but speed alone is insufficient. “Data and technology on their own are not enough without the right kind of mindset to deploy the data,” Simon noted. While push notifications can alert users to opportunities in real time, the crucial step is turning that alert into personalized outreach. This requires a purposeful approach that goes beyond merely acknowledging the notification.

In referral-driven industries, building relationships is not a one-time event. “Relationships are never a single moment in time,” Simon explained. “There are many, many moments over time.” Consistency in showing up with useful, relevant communication is what eventually earns trust and business. This discipline, not the software, is the true driver of success.

For businesses like title and escrow companies that rely on referrals, the formula is clear: data tells you when to act, technology helps you act quickly, and mindset guides your actions. Companies that focus solely on data and technology often plateau because they lack the habits to use them effectively. In contrast, those that cultivate the right mindset among their teams achieve results that competitors cannot easily replicate, as it is not something that can be purchased.

Simon emphasizes that the key is “all one word: consistency.” Not the latest data set or the most advanced software, but the discipline to show up correctly and repeatedly once you know what you are looking at. This principle is critical for any business that depends on referrals and repeat trust.
